Senior HR Specialist
The Snr Human Resources specialist assists with the HR administration of the day-to-day operations of the human resources functions and duties. The Snr HR specialist carries out responsibilities in all of the following functional areas : Workday, Payroll administration, recruiting and staffing logistics, maintaining employee files and the HR filing system , assisting with the day-to-day efficient operation of the HR office, contingent worker including intern management, recordkeeping, employee benefit reimbursements and query management,. The Snr Human Resources specialist helps with the implementation of services, policies, and programs and reports to the Associate HR Director.
Payroll Administration and Budget preparation
  • Executes schedules as per payroll SOPs of SIM employees.
  • Send cheque request & Cost Centre reports to Finance and payroll vendors to transfer funds to payroll vendors
  • File all payroll reports, payroll instructions form with supporting documents* into payroll files
  • Provides support to prepare and coordinate with Finance team for budgeting process/accrual
  • Coordination with Sales reps about submission of sales incentive reports in January, April, July, and October.
  • Support internal and external audit

  • Human Resource Information System (Workday)
  • Maintains employee database in Workday and generates scheduled or requested reports to assist senior management.
  • Maintain employee records in Workday and compile statistical reports concerning personnel-related data such as hires, transfers, performance appraisals, and vacancy rates.
  • Periodically audits the database to ensure accuracy.
  • Keeps employee records up-to-date by processing employee status changes in a timely manner.
  • Maintains personnel files in compliance with applicable legal requirements of all employees including local plus and expatriates.
  • To provide support in compensation management tools and performance management tools.

  • Benefits administration
  • To update employee handbook of SIM at regular frequency.
  • Supporting staff with issues, generating passwords resets and liaising with vendor.
  • Submitting claims online to appropriate authorities to claim for enhanced childcare leaves, N.S. claim and maternity leaves.
  • Payment of monthly e-ben claims
  • Award for excellence - Prepare, print awards certificates and obtain signatures for certificates.
  • Prepare advices for award amounts for crediting them in Payroll.
  • Annual leave and benefit system set up
  • Insurance renewal and employee movement update

  • On boarding of new employees
  • Send Workday Data Form, New Hire Checklist to new hire.
  • Obtain employee's digital photo to prepare door access card
  • Upon receiving Workday Data Entry form, hire employee into Workday
  • Coordination with IT and Office coordinator to prepare employee's computer, and other standard items
  • Set-up new employee in e-leave & e-benefits systems
  • Prepare new hire orientation pack consisting of New Hire Orientation handout, Amex credit card application form, etc
  • Orient new hires to e-leave & e-benefits systems, orientation deck
  • Prepare PF file for new hires and ensure all documents are furnished

  • Recruitment and Staffing
  • Coordinate contingent worker recruitment and selection process in order to ensure a timely, organized and comprehensive procedure is used to hire staff.
  • Coordinate with hiring manager for screening of resumes. Conduct prescreening interviews. Schedule and organize interviews.
  • Support in performing reference and background checks for potential employees. Inform unsuccessful candidates

  • Staff Confirmation and termination
  • Send Probation Form & Guidelines to Managers to hiring manager at least 4 weeks before employee's confirmation date.
  • Prepare confirmation letter for Hiring Manager's signature.
  • Prepare Acceptance of Resignation letter, Exit Declaration Form, Exit Interview Form & Exit Checklist.
  • Terminations in Workday, e-leave & e-benefits systems and payroll preparations.

  • Expatriates Management
  • To coordinate with different countries in the region and global headquarter for expat movement & execution of monthly salary and other related benefits.
  • Coordination with relocation services, support housing and schooling needs of expatriates and Local plus employees
  • Deal with MOM for work pass related and with IRAS for tax related matters
  • To maintain employee records in Workday and custodian of all employee contracts
    Salary Planning & Surveys
  • Assist in preparing the annual salary plans for Singapore, Malaysia and Indonesia including collecting and analyzing market data and evaluating potential impact of proposed structures on incumbent pay.
  • Participate in SIM compensation and salary planning surveys throughout the year with survey providers.
  • Participate in ad-hoc regional surveys or local surveys as needed.
  • Perform ad hoc analysis for costing, program effectiveness and trend purposes

  • Education and Experience
  • Successful completion of Diploma or Bachelor's degree.
  • An advanced diploma in IT/Human Resource Management is a plus.
  • 4-5 years of relevant experience with exposure to HR system like Workday.
  • Excellent MS Office skills
  • Proficient in Excel. Able to create dynamic tolls and models to interpret and analyse data
  • Excellent MS Office skills

  • Professional verbal and written communication skills and presentation skills, linked with a passion that has an impact.
  • Ability to multi-task, prioritize and work under pressure within strict deadlines.
  • Work independently, must be hands-on with high level of energy.
  • Good understanding of the payroll management and other HR process and legislations.
  • Highly detailed driven with emphasis on accuracy.
