Position Statement

The Senior HR Officer acts as the primary contact for HR operations in Holdings office. He/ She would be responsible for HR Administration, payroll, recruitment support, office administration and providing advisory support to the management. He/ She is also responsible for onboarding and off-boarding for employees in Wan Chai offices.

  • Key Tasks and Responsibilities

    HR Administration

  • Being the primary contact point to answer HR enquiries from employees.
  • Ensure all HR Administrative tasks are actioned and completed in a timely manner such as Medical and MPF administration, onboarding/off boarding paper work, reporting
  • Prepare HR documentation such as employment contracts, letters, exit documents etc.
  • Support new hires onboarding arrangement such as setting up the profiles on HRIS, request for system accesses, prepare access cards, set up and maintain p-files, conduct new hires onboarding sessions.
  • Ensure all transactions on HRIS are processed timely and accurately.
  • Assist in all medical benefits administration such as checking of relevant invoices, submitting claims and follow up for enquires.
  • Support the HR team to organize HR related events such as MPF performance review seminars, health talks.

    Payroll Management
  • Work closely with external payroll services provider to prepare for monthly payroll data. Make sure all the payroll reports are in order and accurate.
  • Process payroll via designated online banking platform and seek approvals from Finance team and Regional CFO.
  • Prepare for monthly payroll consolidation reports as per Finance teams requirements.
  • Work with HR Manager/HR Director or other HR team members to prepare for and submit statutory reports and forms such as MPF contribution reports, employers return for new hires and leavers, and the annual/ad hoc tax reporting exercises.

    Recruitment Support
  • Follow the group talent acquisition policy and procedure for recruitment processes in Wan Chai.
  • Work as the recruiting partner for the line managers to support the hiring activities for certain positions in Wan Chai, from requisition submission/approval, job posting, employee referral, interview scheduling, job offer, background checks.

    Office Administration
  • As the primary contact point for office administration tasks if required.
  • Arrange quarterly carpet cleaning and pest control services for Wan Chai offices.
  • Arrange annual check-up such as fire extinguishers checking.

    Learning and Development
  • Ensure the Learning and Development activity is recorded accurately each month.
  • Prepare and deliver training across the business that relates to HRM practices and or initiatives.
  • Ensure the Learning and Development activity is aligned to the Corporate Strategy.

    Corporate Social Responsibility
  • Support the company CSR commitment and goals.
  • Being one of the advocates in the CSR/ WLB commitment. Help organizing and promoting CSR and WLB activities in Wan Chai offices.

  • Support line managers and provide advisory support to line, middle and senior managers on performance related matter, including but not limited to disciplinary actions for misconduct, unsatisfactory performance, reward and recognition for high performers.
  • Keep track of the annual performance review processes. Support line managers to finish the reviews in a timely manner.
  • Support to provide information and data analysis for RPF enquires from the business
  • Support Group C&B Advisor to run various analytics reports such as turnover analysis, diversity and inclusion information, headcount reports, performance review status etc.
  • Prepare usage reports for Harrison Assessment on regular basis, verify with respective HR Managers and arrange inter-company billing.
  • Adhoc duties as assigned by the Manager.

    Professional Knowledge and Skills
  • Proficient computer skills with experience using Microsoft Office including Word, Excel, PowerPoint, Outlook or equivalent
  • Excellent spoken and written communication skills in English
  • Knowledge about day-to-day HR department operations including payroll administration.
  • Experience in HRIS system is a plus
  • Well-versed in Hong Kong Employment Ordinance, MPF regulations and other related regulations.

  • A degree holder of HR Management / Business Administration
  • At least 5 years experience in all-round HR supporting role. Experience in MNC environment would be a plus.
