Job Description


The Senior Executive is responsible for the following:

Service Delivery

  • Manage both the pre and on onboarding activities for newly hired University staff (Faculty, Research and MSO), which includes the following:

    • Ensure that they complete the pre-employment medical examination, and receive the In-principal approval (IPA) for work pass prior commencement of work

    • Ensure that they receive the Workday triggered Assumption of Duty email which contains information regarding commencement of work

    • Schedule onboarding briefings to share on On-boarding framework & program and University wide policies and facilities

    • Prepare on-boarding documents including network account passwords, staff card etc

    • Verify key employment documents such as educational and other certificates

    • Ensure documents are e-pfiled after new hires are onboarded

    • Provide advice and assistance to Facultys expatriate on housing / accommodation requests, relocation schemes, schooling options for dependents etc

  • Handle Work Pass administration which includes the following:

    • Monitor and ensure the smooth and timely processing of applications and renewal of work passes

    • Issuance of work pass for new employees / visiting scholars

    • Cancellation of work pass for terminated employees / visiting scholars

    • Ensure accurate charging of cost to the respective Schools/Depts and employees

    • Distribution of work pass cards

    • Provide advice on work pass related matters

  • Process requests on Letter of Certification, and forms for Singapore Permanent Residency (SPR) and Singapore Citizenship applications

  • Administer Joint CPF contribution with relevant parties and agencies.

Operational Excellence

  • Ensure all on-boarding operations, work pass processes and other requests are executed timely and within the agreed Service Level Agreements (SLAs)

  • Review and streamline HR processes on areas of process improvements and standardisations.

  • Attend to queries in a timely manner.

Relationship Management/Customer Relations

  • Work with colleagues within NTU Shared Services to e nsure seamless HR end-to-end processes internally.
  • Work with and develop business relationship with all stakeholders including HR Business Partners, Hiring Managers, employees, colleagues to support and ensure alignment of HR transactional services with NTU HR policy & strategic direction


    To qualify for this position, you should have a Bachelor Degree in Human Resources, Social Sciences, Business or related discipline with 2 years or more of HR working experience. You should also possess the following skills and abilities:

    • Good understanding of common HR practices and Employment related legislation

    • Good understanding of work passes
    • Strong organisational and time management skills

    • Possess good interpersonal and communication skills especially in customer relations

    • Meticulous and a service oriented mind-set
