The Assistant to HR Director is responsible for providing administration support to the HR Director and HR colleagues in the Regional Office. This role also supports and coordinates HR activities (Recruiting, Talent, HR Governance & Analytics, HR Business Partnering, C&BM, BI Internal Systems & Process Administration etc.). This role ensures transactional HR administration and coordination is done efficiently and effectively.
TASKS & RESPONSIBILITIES Administrative support to HR Director: Calendar maintenance, travel management/bookings, expenses claims Events Management (Regional HR meetings, Monthly HR calls / meetings) Consolidation of ad-hoc reports and management slides Administrative support to HR colleagues in the Regional Office: Team calendar maintenance, tracking of travel bookings / travel system, expenses claims, invoices management, e-Purchasing, rotated reception duty (once a month) etc. Manage and process payments, invoices, purchase orders and requisition, vendor creation and management, payment topics and follow up Records maintenance (e.g., signatures routing, filing etc.) Operational support to HR colleagues in the Regional Office: Management of Local Internship Program and 3rd party vendors for HR related topics, including processing invoices and payments Coordination of interview arrangements, on-boarding and off-boarding logistics, personnel changes for International Assignees / Local Transfers / New Hires / Leavers Support training administration in line with decisions taken, management of participants invites, tracking attendance, training evaluation Supports preparation and consolidation of presentation slides and other related tasks as planned Events Support for Singapore office activities including New Hire Orientation. Other ad hoc duties as assigned
REQUIREMENTS Diploma / Bachelors Degree in any discipline Min. 5 8 years of strong administration / operational management experience Well-versed in MS Office, proficient in MS Excel a plus Good interpersonal skills, team player, customer-orientated focus, pleasant personality Good Written and Verbal communication skills Passion for Performance Thriving in a team environment, yet being able to work independently Ability to multi-task, organize, plan and solve problems effectively
